Key Health and Safety Documents

Guidance on H&S for Lettings

A new guidance document on Health and Safety for Lettings (188 KB) has been created, for those schools who have Lettings taking place on their premises. This gives advice on the health, safety, fire and security elements to be considered by schools and those letting school premises, and includes a hazard exchange template form which can be used to exchange health and safety information between both parties. 

Model School Health and Safety Policy

The model H&S Policy is provided for schools to adapt and change to reflect their own local health and safety arrangements. Sections may be added or removed as necessary.  Roles and responsibilities and the arrangements section must refer to the actual arrangements schools have in place.  

Schools should also consider the Key Performance Indicators (KPIs) they will use to monitor and review health and safety. 

Audit and Evaluation

The Council's Health and Safety Policy requires Headteachers and school leaders to monitor and review standards of health and safety. A three stage evaluation and audit process is in place to to support this.

  • Step 1. A Health and Safety Evaluation Checklist of day to day health and safety issues. The relevant section of this document must be completed by the Premises Manager and other relevant personnel in October each year. 
  • Step 2. A Health, Safety and Wellbeing Self Audit is a tool for the school/academy leadership team to help them identify their own health, safety and wellbeing management achievements against defined standards. This document must be completed in January each year and forwarded to the Health, Safety and Wellbeing Service.
  • Step 3. The Health, Safety and Wellbeing Audit is completed by a Health, Safety and Wellbeing Service professional H&S Adviser. These are completed to a planned programme and re-auditing frequency is influenced by the maturity level achieved.  

In the Operational Control section of the Step 3 Audit, schools/academies will be monitored against 4/5 policy/management arrangements relevant to their activities. A guide outlining the main areas of operational control can be downloaded below.

Health and Safety Planner

This planner outlines the key tasks for schools when managing health and safety. This planner is a template for schools to use and adapt to their own individual needs.

Health & Safety Service Level Agreement.

Health, Safety and Wellbeing Services, Occupational Health and D&T services are provided through a Service Level Agreement through Entrust. Please see the information provided on the buy back process via Entrust.  

Annual Report by H&S Coordinators (Template)

This template is designed to be used by Health and Safety Coordinators and/or heads of establishment to report health and safety performance to Governing Bodies or Senior Management teams.

Whilst this is not a compulsory report, it provides a useful opportunity for Governors and/or Senior Managers to receive important health and safety information in a summarised form so that they are:

  1. Kept informed of progress and developments, and

  2. To support informed decision making on allocation of resources on the basis of risk.

It is recommended that such a report is produced, presented and discussed annually.
