Privacy Notice - Beat the Cold
Beat the Cold, Staffordshire County Council and Community Foundation for Staffordshire are collecting and using your data to assess your eligibility to receive a grant from the Household Support Fund.
If eligible, this grant will be paid directly to your utility provider to support your household with paying for energy bills throughout winter.
The data which you provide over the course of the assessment will not be used for any other purposes or disclosed to any other agency without the statutory authority to do so.
We will only collect and use data which is adequate, relevant and necessary to assess your eligibility.
Beat the Cold will use the information you provide on the application form to contact you. They will ask you further questions to assess your eligibility for the grant. If you are eligible, they will pass the information to Staffordshire County Council.
Staffordshire County Council will check the details which you have provided to Beat the Cold to confirm that you are eligible for support. These checks will include data provided by the Department for Work and Pensions in relation to welfare benefits, and other data held by the Council which may help us to assess eligibility.
Once these checks are complete, eligible applicants’ information will be passed to Community Foundation for Staffordshire. They will contact your energy provider to establish whether you require a grant to support your energy bill payments for the winter period. Successful applicants will have a payment made, by Community Foundation for Staffordshire, on their behalf to their energy provider.
If necessary, Community Foundation for Staffordshire may then pass your information back to Beat the Cold to provide you with additional advice and guidance about keeping your energy bills low.
We will be collecting both personal and special category data about you therefore; the following Article 6 and Article 9 lawful bases are being relied on:
- Article 6(1)(a) the data subject has given consent to the processing of his or her data for one or more specific purposes.
- Article 9(2)(a) the data subject has given explicit consent to the processing of those personal data for one or more specified purposes.
Beat the Cold, Staffordshire County Council and Community Foundation for Staffordshire will only process your data in this way if you consent for us to do so.
You may withdraw consent at any time by contacting any of the organisations as follows:

Please note that if consent is withdrawn, we will not be able to process your application any further which may result in a payment not being made to your utility provider.
Beat the Cold, Staffordshire County Council and Community Foundation Staffordshire are all acting as Data Controller as part of the Household Support Fund. Therefore, all organisations have a legal responsibility to protect any information that we hold about you.
We take measures to safeguard your data and implement security standards and controls to prevent any unauthorised access to it. Information which you have provided to us will be stored securely.
The data provided in relation to the Household Support Fund will be kept for 6 years by all partners for auditing purposes and then will then be securely disposed of.
